{"id":18,"date":"2022-06-16T14:51:23","date_gmt":"2022-06-16T14:51:23","guid":{"rendered":"https:\/\/wp.cune.edu\/travelmanagement\/?page_id=18"},"modified":"2026-03-31T18:42:50","modified_gmt":"2026-03-31T18:42:50","slug":"test-page-2","status":"publish","type":"page","link":"https:\/\/wp.cune.edu\/travelmanagement\/test-page-2\/","title":{"rendered":"Trip Planning Process"},"content":{"rendered":"\n<h2 class=\"wp-block-heading\">Trip Planning Process<\/h2>\n\n\n\n<p>Faculty members, campus staff,&nbsp;or group advisors who lead students on any off campus trip&nbsp;during the school year or summer, should follow these major steps to get started and move along in the process.<\/p>\n\n\n\n<p><strong>1.<\/strong>&nbsp;<strong>Visit with the Director of Global Opportunities<\/strong>, Julie Johnston Hermann. She provides training for all trip leaders to cover what is needed to move forward in offering a particular type of trip for campus.<\/p>\n\n\n\n<p><strong>2.<\/strong>&nbsp;Read and review the<a href=\"https:\/\/wp.cune.edu\/travelmanagement\/files\/2024\/03\/Off-Campus-Activity-Travel-Guide.pdf\">&nbsp;<\/a><u><em><strong><a href=\"https:\/\/wp.cune.edu\/travelmanagement\/files\/2026\/03\/Off-Campus-Activity-Travel-Guide-26.pdf\">Off-Campus Activity &amp; Travel Guide<\/a><\/strong><\/em><\/u>&nbsp;and the resources provided on this <strong><em>Travel Management site <\/em><\/strong>for an overview on what is needed for various types of trips.<\/p>\n\n\n\n<p><strong>3<\/strong>. Work with your department, supervisor, or group to <strong>determine trip goals and purpose<\/strong> &#8211; why and what objectives for off-campus trips.<\/p>\n\n\n\n<p><strong>4<\/strong>. Read and review the <a href=\"https:\/\/wp.cune.edu\/travelmanagement\/files\/2023\/06\/ST_Program-Leaders_8.5x11_P1.pdf\"><strong><em>Leading Short-Term Education Abroad Programs: Know the Standards<\/em><\/strong><\/a> document. The <strong><em><a href=\"https:\/\/www.forumea.org\/standards-of-good-practice.html\">Standards of Good Practice for Education Aboard<\/a><\/em><\/strong> were established in 2004 (and updated in 2023) by the Forum on Education Abroad &#8211; higher education&#8217;s benchmark for education abroad program excellence and accountability. <\/p>\n\n\n\n<p><strong>5.<\/strong>&nbsp;<strong>Reach out to study abroad providers for customized program proposals<\/strong> &#8211; you can start the process by completing short requests on their websites. You can then compare options to choose the proposal and provider you\u2019d like to work with. Concordia has worked with these providers in the past: <strong><a href=\"https:\/\/apiabroad.com\/faculty-led-customized-programs\/\">API<\/a> <\/strong>\/ <strong><a href=\"https:\/\/www.aifsabroad.com\/customized-faculty-led\/\">AIFS<\/a> <\/strong>\/ <strong><a href=\"https:\/\/landli.org\/locations\/experiential-tours\">Living &amp; Living<\/a><\/strong> \/ <strong><a href=\"https:\/\/worldstrides.com\/en-us\/higher-ed\/custom-programs\">Worldstrides<\/a><\/strong> &nbsp;&nbsp;<\/p>\n\n\n\n<p><strong>6.<\/strong> <strong>Share an anticipated academic, travel and financial outline<\/strong> with your supervisor \/ department chair so you can put together a&nbsp;<strong><em>Proposed Trip Application<\/em><\/strong>&nbsp;for your intended trip.<\/p>\n\n\n\n<figure class=\"wp-block-table\"><table><tbody><tr><td><strong>Planning an international trip?<\/strong><\/td><td><strong>Planning a domestic trip?<\/strong><\/td><\/tr><tr><td>&#8211; Planning should start at least 18 months in advance of anticipated travel dates. <br>&#8211; Follow the&nbsp;<a href=\"https:\/\/wp.cune.edu\/travelmanagement\/files\/2025\/03\/Leader-Check-List-International-Travel.pdf\" data-type=\"link\" data-id=\"https:\/\/wp.cune.edu\/travelmanagement\/files\/2025\/03\/Leader-Check-List-International-Travel.pdf\"><u><strong><em>Leader Check List<\/em><\/strong><\/u> <strong>&#8211; <em>International Trips<\/em><\/strong><\/a>&nbsp;for specific details related to international travel planning.<br>&#8211; When you have trip and financial details together, complete a <strong><em>Proposed Trip Application<\/em><\/strong>. <br>&#8211; Leaders must also work with the Business office on&nbsp;<strong>spring budget parameters and deadlines. <\/strong><\/td><td>&#8211; Planning should take place&nbsp;the spring prior to the&nbsp;school&nbsp;year the trip would be offered.<br>&#8211; Follow the&nbsp;<a href=\"https:\/\/wp.cune.edu\/travelmanagement\/files\/2025\/03\/Leader-Check-List-Domestic-Travel.pdf\" data-type=\"link\" data-id=\"https:\/\/wp.cune.edu\/travelmanagement\/files\/2025\/03\/Leader-Check-List-Domestic-Travel.pdf\"><u><em><strong>Leader Check List<\/strong><\/em><\/u> &#8211; <strong><em>Domestic Trips<\/em><\/strong><\/a>&nbsp;for specific details related to domestic trip planning.<br>&#8211; When you have trip and financial details together, complete a <strong><em>Proposed Trip Application. <\/em><\/strong><br>&#8211; Leaders must also work with the Business office on <strong>spring budget parameters and deadlines<\/strong>. &nbsp;<\/td><\/tr><\/tbody><\/table><\/figure>\n\n\n\n<p><strong>7<\/strong>. The <strong><em>Proposed Trip Application<\/em><\/strong> is to be completed by a primary trip leader. <strong><em>Click here to access the <a href=\"http:\/\/via-go-cune.via-trm.com\/program_brochure\/34287\">Proposed Trip Application<\/a> in Via<\/em><\/strong> <strong><em>TRM<\/em><\/strong>. Also, complete this <strong><em><a href=\"https:\/\/wp.cune.edu\/travelmanagement\/files\/2026\/03\/Trip-Funding-Worksheet-WP.pdf\">Trip Funding Worksheet<\/a><\/em><\/strong> to note the anticipated trip expenses and revenue and upload to complete the <strong><em>Application<\/em><\/strong>.<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>When complete, the <strong><em>Application<\/em><\/strong> will be shared with the Associate Provost, Academic Deans, Business Office, and the Director of Global Opportunities for review. The leader will be contacted if any clarification is needed, and then on approval status.<\/li>\n\n\n\n<li>A <strong><em>Proposed Trip Application<\/em> <\/strong>notifies various offices of a <strong>pending trip so campus can provide administrative guidance <\/strong>needed for a safe and well-planned experience for students.<\/li>\n\n\n\n<li>Concordia&#8217;s <strong><em>Via TRM<\/em><\/strong> site houses online trip brochures and applications for study abroad, study tours, service trips, and mission trip opportunities for students.<\/li>\n<\/ul>\n\n\n\n<p><strong>8.<\/strong>&nbsp;A <strong><em><a href=\"https:\/\/wp.cune.edu\/travelmanagement\/files\/2025\/02\/Confirmed-Trip-Details-25.pdf\">Confirmed Trip Details<\/a><\/em><\/strong> form will be requested from trip leaders <strong>1)<\/strong> to provide <strong>up to date details to build an online trip brochure in <em>Via TRM<\/em><\/strong>, for trips where <strong>students would apply to participate<\/strong> in an experience, or <strong>2)<\/strong> as a notice for trips that don&#8217;t need campus budgeting approval involving a set group, team, etc.<\/p>\n\n\n\n<p><strong>9<\/strong>. <strong>Promote the trip on campus so students can plan ahead.<\/strong> A great resource from study abroad provider AIFS &#8211; a short video session on <a href=\"https:\/\/www.youtube.com\/watch?v=rkoT7qDC5KA\"><strong><em>Planning and Marketing Your Faculty-Led<\/em><\/strong> <strong><em>Program<\/em><\/strong><\/a><strong><em>.<\/em><\/strong><\/p>\n\n\n\n<p><strong>10.<\/strong> <strong>Students can be directed to go to<\/strong> <strong><a href=\"http:\/\/via-go-cune.via-trm.com\"><em>Via TRM<\/em><\/a><\/strong>, to set up a travel profile and then apply for a specific travel experience. Links to specific trips will be provided to share with students. <strong>Continue to communicate and work with students on travel preparations. <\/strong><\/p>\n\n\n\n<p><strong>11.&nbsp;<\/strong>Follow the <strong><em>Leader Check List<\/em><\/strong>&nbsp;for your trip &#8211; <strong>work with students<\/strong> on payments and preparations &#8211; <strong>contact Julie on next step travel details<\/strong> needed for your specific travel situation.<\/p>\n\n\n\n<p><strong>12.<\/strong>&nbsp;Trip leaders must complete a&nbsp;<strong><em><a href=\"https:\/\/wp.cune.edu\/travelmanagement\/files\/2025\/02\/Final-Trip-Plan-25.pdf\">Final Trip Plan<\/a><\/em><\/strong>, a <strong><em><a href=\"https:\/\/wp.cune.edu\/travelmanagement\/files\/2025\/04\/Traveler-Template-Via-csv.xlsx\" data-type=\"link\" data-id=\"https:\/\/wp.cune.edu\/travelmanagement\/files\/2025\/04\/Traveler-Template-Via-csv.xlsx\">Traveler List<\/a><\/em><\/strong> &#8211; and a <strong>basic trip itinerary<\/strong> as soon as details are finalized and send to Julie at least two weeks before trip departure. A reminder on items to provide to campus and items for leader to carry are listed on the <strong><em>Final Trip Plan<\/em><\/strong>.<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>These <strong>final trip details<\/strong> (including travel, housing, travel and activity itinerary, list of participants) for domestic and international trips will be entered into the <strong><em>Via Travel<\/em><\/strong> part of <strong><em>Via<\/em><\/strong> by Julie to generate a virtual <strong><em>Travel Plan<\/em><\/strong> so <strong>campus administrators know what groups and individuals are traveling at any point in time.<\/strong><\/li>\n<\/ul>\n\n\n\n<p><strong>13.&nbsp;<\/strong>Before departing, <strong>trip leaders should gather the students&#8217; <strong>health\/medical information<\/strong><\/strong> and <strong>emergency contact information<\/strong>. (see the Risk Management section for more details) <\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>If students applied for a campus trip through&nbsp;<em><a href=\"http:\/\/via-go-cune.via-trm.com\/\">Via TRM<\/a><\/em>, trip leaders can access student information<\/strong>&nbsp;(emergency contact, health &amp; medical information) by logging into&nbsp;<strong><em><a href=\"http:\/\/via-go-cune.via-trm.com\/\">Via TRM<\/a><\/em>.<\/strong><\/li>\n\n\n\n<li><strong>If students are part of an established group (student organization, music, speech, etc.), trip leaders will need to gather<\/strong> <strong>student information<\/strong>&nbsp;<strong>  <\/strong>(emergency contact and health &amp; medical information)&nbsp;<strong>from the group members to bring along on the trip.&nbsp;<\/strong><\/li>\n<\/ul>\n\n\n\n<p><strong>14.<\/strong>\u00a0As soon as possible after the trip, leaders must complete the <strong><em><a href=\"https:\/\/wp.cune.edu\/travelmanagement\/files\/2023\/06\/Clery-Act-Student-Trip-Reporting-Form.pdf\">Clery Student Trip Report<\/a><\/em><\/strong> and complete any other <strong>post trip tasks, reports, or payments<\/strong>.\u00a0\u00a0<\/p>\n\n\n\n<p><\/p>\n","protected":false},"excerpt":{"rendered":"<p>Trip Planning Process Faculty members, campus staff,&nbsp;or group advisors who lead students on any off campus trip&nbsp;during the school year or summer, should follow these major steps to get started and move along in the process. 1.&nbsp;Visit with the Director of Global Opportunities, Julie Johnston Hermann.
